Job Description

Assistant Project Manager

An assistant project manager supports a Project Manager (PM) in all aspects of project planning, execution, monitoring, and closure. They help ensure projects are completed on time, within budget, and to the required quality standards. This is often an entry-level role, offering a pathway to becoming a Project Manager. 

Duties and responsibilities

  • Project Planning and Coordination: Assists the Project Manager in planning and developing project timelines, scope, and objectives. They help coordinate tasks and deliverables, ensuring adherence to the project schedule.
  • Documentation and Reporting: Responsible for maintaining project documentation, including creating and updating plans, schedules, and budgets. They also prepare project reports and presentations for the PM and stakeholders.
  • Communication and Collaboration: Facilitates communication between team members, stakeholders, and clients. They schedule and lead meetings, disseminate information, and address inquiries or concerns.
  • Resource and Budget Management: Assists in resource allocation, identifying resource requirements, and managing resource conflicts. They help track project costs and manage the project budget, ensuring it stays within the allocated funds.
  • Quality and Risk Management: Supports in identifying, assessing, and managing project risks, developing risk mitigation strategies. They also assist in developing quality assurance plans and ensuring project deliverables meet quality standards.
  • Administrative Support: Handles administrative tasks, such as preparing estimates, invoices, and expense reports. They may also be responsible for tasks like data entry, file organization, and managing schedules. 

Required skills

  • Project Management Skills: Strong understanding of project management principles, methodologies, and tools.
  • Communication Skills: Excellent written and verbal communication skills are essential to effectively interact with team members, clients, vendors, and stakeholders.
  • Organizational Skills: The ability to manage multiple tasks, prioritize, and maintain accurate records is crucial for success.
  • Problem-Solving Skills: Effective problem-solving is necessary to identify and resolve issues that may arise during the project lifecycle.
  • Time Management Skills: The ability to manage deadlines and ensure tasks are completed efficiently is important.
  • Technical Skills: Proficiency in project management software and relevant industry-specific tools is often required.
  • Leadership Skills: While the Project Manager takes the lead, the Assistant Project Manager should have leadership skills to motivate and guide team members and collaborate effectively. 

Qualifications and experience

  • Education: A bachelor's degree in a relevant field like Business Management, Construction Management, or Project Management is often required.
  • Experience: Previous experience in project management or a related administrative role is typically preferred.
  • Certifications: Project management certifications like Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) can be beneficial for career advancement. 
  • Mechanical Plumbing/HVAC experience a plus
